Terms of Service

These terms govern the use of the Verivoo platform, a SaaS application for supplier certificate management, compliance tracking and document expiration monitoring, provided by Verivoo AG, Zürich, Switzerland. By creating an account or using Verivoo you accept these terms.

1. The service

Verivoo provides supplier management, secure certificate storage with version history, AI-assisted document analysis (extraction of certificate type, issue and expiration dates), automated reminder emails, supplier upload portals, Excel import/export, team management with roles, and audit logging. We may improve or modify features as the product evolves; we will not materially reduce the core functionality of your plan during a paid period.

2. Accounts and responsibilities

  • You must provide accurate registration data and keep credentials confidential.
  • The workspace owner controls the account; admins manage team members and assign roles (Admin, Manager, Viewer). You are responsible for actions taken under your workspace by invited users.
  • You confirm that you are entitled to store the supplier contact data and certificate documents you upload, and that reminder emails sent through Verivoo to your suppliers are lawful business communication.
  • We strongly recommend enabling two-factor authentication for all users.

3. Acceptable use

You must not:

  • upload files that are unlawful, malicious or that you have no right to process;
  • attempt to access other customers’ workspaces or probe the service for vulnerabilities;
  • use the reminder system to send unsolicited bulk email unrelated to certificate renewal;
  • resell or sublicense the service without our written consent;
  • exceed reasonable usage of upload, scanning or email volume for your plan.

4. AI document analysis

Automatic extraction of dates and certificate types is provided as an assistance feature with a confidence score. It can be wrong. You remain responsible for verifying extracted expiration dates, Verivoo flags low-confidence and suspicious documents, and every value can be corrected manually. The AI analysis is not legal or compliance advice.

5. Subscriptions, trials and billing

  • New workspaces start with a 14-day free trial; no payment data is required for the trial.
  • Paid plans (Starter, Professional, Enterprise) renew monthly until canceled. Plan limits (certificates, suppliers, users) are described on the pricing page at the time of purchase.
  • Upgrades take effect immediately; downgrades at the next renewal.
  • Invoices are available in the billing area as PDF downloads.
  • Prices may change with at least 30 days’ notice, effective at your next renewal.

6. Cancellation

You can cancel anytime in Settings → Subscription. Access continues until the end of the paid period; no partial refunds for the remaining period unless required by law. After cancellation your data remains exportable for 30 days, then it is deleted in line with the Privacy Policy.

7. Your data

You own the supplier data, certificates and documents in your workspace. You grant Verivoo the limited rights needed to operate the service (storage, scanning, sending reminders on your behalf). We claim no other rights to your content and do not use it to train models.

8. Availability and support

We target 99.9% monthly availability (99.99% with an Enterprise SLA) excluding announced maintenance. Support is available via the in-app support form and supportverivo@gmail.com.

9. Liability

To the extent permitted by law, Verivoo’s aggregate liability is limited to the fees you paid in the twelve months before the event giving rise to the claim. Verivoo is not liable for indirect damages, lost profits, or consequences of expired certificates where reminders were delivered to the addresses configured in your workspace or where extracted dates were not verified. Nothing limits liability for intent or gross negligence.

10. Termination for cause

We may suspend or terminate workspaces that materially violate these terms, particularly the acceptable-use rules, after notice where practicable.

11. Governing law

Swiss law applies; the courts of Zürich, Switzerland have exclusive jurisdiction, subject to mandatory consumer protections at your residence.
